ICMS System Upgrade, January 2, 2010
About the Upgrade
On Saturday, January 2, 2010, AES-IS will upgrade the ICMS to Oracle Content Server version 10gR3. This is a major system upgrade involving new server hardware and software, and providing new and beneficial features. Some features will be modified or phased out.
New Features
Along with many other enhancements, the following major new features will be available:
- HTML Renditions of Office documents
- Sortable and customizable search results
- Query Builder for advanced searches
- Content Baskets and Folios for packaging, routing and storing groups of documents
Existing Features still available
Most ICMS features have been retained, including:
- Related Content
- Permanent URLs
- Library and Contribution Folders
- Saved Queries and Subscriptions
Known Issues and User Impact
Workflows
Documents in workflows CANNOT BE TRANSFERRED to the new system.
We strongly encourage you to view My Stellent > My Workflow Assignments prior to 12/21/09, and process any documents in your queue as soon as possible. If you receive any workflow notifications by email, take action immediately. Here are some suggestions for two common workflow scenarios:
- You own an old document in Ad-Hoc Workflow which was rejected by other reviewers. The document is now in OrigContributorStep.
- If you no longer want this document, delete all revisions, or do nothing. The document (and associated data) will not be transferred.
- If you want to release this document, go to Update and clear any other reviewers from the workflow steps. Then approve the document. It will be released and transferred, along with any associated data (discussions, workflow history, etc.)
- You have a document in Ad-Hoc or P&P Workflows that is actively being reviewed.
- If it's possible to complete the review process prior to 12/21/2009, please do so.
- If you cannot complete the review process prior to 12/21/2009, approve the document until it's released from workflow. Reviewers should comment that the approval is temporary. After the ICMS upgrade is complete, check in a new revision of the document and restart the workflow.
CAD Integration
Currently, the ICMS and Intralink are tightly coupled via the electronic DCN process. The new system simplifies this integration and eliminates DCN workflows in ICMS. This means:
- WIPs will NOT be in the ICMS.
- In-Progress DCNs should be noted. In the future these must be routed via a separate procedure, outside the ICMS.
- Released drawings from Intralink will continue to be automatically synced to the ICMS.
- The ICMS will continue to convert drawings to PDF.
- Custom Content Info screens are removed for Model_Drawing types.
Search
Content Server 10gR3 uses a new underlying system for searching and indexing documents. Some search operators have changed. This can impact saved searches, though most should continue to work without problems.
